Terms of Service

These terms govern your use of Pathlight. By creating an account you agree to them. Please read them — they're written in plain English.

1. The service

Pathlight is a web-based tool that allows leaders of children's groups to track award progress, safety information, ages, and waiting lists. It is provided by Pathlight, a UK sole trader business.

The service is provided "as is." While we work hard to keep it reliable and secure, we cannot guarantee uninterrupted availability.

2. Eligibility

To use Pathlight you must be:

  • 18 years of age or older
  • Using the service in your capacity as a leader, helper, or administrator of a children's group
  • Authorised by your organisation to store data about the children in your group

3. Your responsibilities as a leader

This is the most important section. When you use Pathlight to store information about children, you become a data controller under UK GDPR for that data. This means:

  • Parental consent: You must obtain appropriate parental or guardian consent before storing any information about a child in Pathlight. By adding a child to Pathlight, you confirm you have this consent.
  • Accuracy: You are responsible for keeping the information you store accurate and up to date.
  • Appropriate use: You may only use Pathlight for legitimate group administration purposes.
  • Access control: You are responsible for who you invite to your group via the invite code. Only invite people who are authorised to access children's data for your group.
  • Data requests: If a parent or guardian asks you to correct or delete their child's data, you must action this promptly. You can do this directly in Pathlight.

4. Acceptable use

You must not use Pathlight to:

  • Store data about children you do not have authority over
  • Share access with anyone who is not a legitimate leader or helper in your group
  • Attempt to access other groups' data
  • Attempt to reverse-engineer, scrape, or otherwise misuse the service
  • Upload malicious code or attempt to compromise the security of the platform

5. Accounts

You are responsible for keeping your login credentials secure. You must not share your password with anyone. Each leader in your group should have their own account.

We may suspend or terminate accounts that violate these terms without prior notice.

6. Subscription plans and billing

Pathlight offers free and paid plans. Paid plans are billed annually through Stripe.

  • Free plan: Available indefinitely at no cost, subject to usage limits.
  • Paid plans: Billed annually. Payment is taken at the start of each annual period.
  • Free trial: Paid plans include a 30-day free trial. Your card is not charged until the trial ends.
  • Cancellation: You may cancel at any time. You will retain access until the end of your paid period. We do not offer refunds on annual plans, but we consider requests on a case-by-case basis — email us.
  • Price changes: We will give at least 30 days' notice of any price changes before they take effect.
  • Failed payments: If a payment fails, we will notify you and give you a grace period to update your payment details before downgrading your account.

7. Data and privacy

Our Privacy Policy explains in detail how we handle data. By using Pathlight you agree to our Privacy Policy.

When you cancel your account, all your group's data will be permanently deleted within 30 days. You can export your data at any time from Settings before cancelling.

8. Intellectual property

The Pathlight name, logo, design, and software are our intellectual property. You may not copy, reproduce, or use them without permission.

The data you enter into Pathlight remains yours. We claim no ownership over the information you store.

9. Liability

To the maximum extent permitted by UK law, Pathlight's liability to you is limited to the amount you paid us in the 12 months before the event giving rise to the claim.

We are not liable for:

  • Data you enter incorrectly or fail to enter
  • Consequences of sharing your invite code with unauthorised people
  • Loss of data resulting from actions taken by you or co-leaders in your group
  • Third-party service outages (Supabase, Stripe, etc)

Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud.

10. Changes to the service

We may update or change features of the service. Where a change significantly reduces functionality you are paying for, we will give at least 30 days' notice and offer a pro-rata refund if you wish to cancel.

11. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
